Last reviewed: 24 September 2026. Every migration from Tally, Excel, or a legacy desktop accounting package to a cloud platform like Zoho Books fails or succeeds on the same handful of details – opening balances, GST reconciliation, and whether the new system's audit trail actually meets the Rule 3(1) audit trail requirement from day one. This is the checklist we actually run for clients making this move, not a features tour.
Why migrations go wrong
Almost every failed migration we see traces back to one of three causes: opening balances entered piecemeal instead of as a single reconciled journal, GST master data (place of supply, HSN/SAC codes, tax rates) configured loosely and fixed later invoice by invoice, or the old system switched off before the new one has survived a full GST filing cycle. None of these are Zoho-specific problems – they show up in any Tally-to-cloud or spreadsheet-to-cloud migration, but Zoho Books' GST-native design makes getting the GST setup right upfront especially worthwhile.
The migration checklist, in order
| Stage | What to do |
|---|---|
| 1. Cut-off date | Pick a date (usually month-end or quarter-end) after which all new entries go into the new system only |
| 2. Close and reconcile the old system | Bank reconciliation, GST reconciliation (GSTR-2B vs books), and a final trial balance as of the cut-off date |
| 3. Chart of accounts mapping | Map old ledger heads to Zoho Books' chart of accounts – do not auto-import Tally ledgers without reviewing the mapping |
| 4. Opening balances | Enter as a single opening journal entry per ledger/party, tied to the reconciled trial balance |
| 5. GST master setup | GSTIN, place of supply, HSN/SAC codes, tax rates and e-invoicing settings configured and tested with a dummy invoice before going live |
| 6. Party-wise outstanding | Import customer/vendor outstanding balances at invoice level, not as a single lump sum, so ageing reports work correctly from day one |
| 7. Parallel run | Run both systems for one full GST return period before retiring the old one |
The audit trail requirement is not optional
Since the Companies (Accounts) Rules mandate an edit-logging audit trail feature in accounting software used by companies, confirm this is switched on in Zoho Books from day one of the migration – not enabled retroactively once someone asks for it. An audit trail that only starts logging changes after go-live has a gap for the migration period itself, which is exactly when the most manual corrections happen. See our detailed note on the audit trail rule for what "compliant" actually means in practice.
Worked example. A trading company with 40 active vendors and 120 open sales invoices migrated from Tally at financial year-end. Opening balances were entered as one journal per vendor/customer tied to the closing trial balance (not vendor-by-vendor manual re-entry), HSN/SAC and place-of-supply master data was set up and tested against three live invoices before go-live, and both systems ran in parallel through the first GSTR-3B cycle. The parallel run caught two HSN code mismatches that would otherwise have shown up as GSTR-2B/books reconciliation differences three months later.
Common migration mistakes
- Re-keying every historical transaction instead of importing a summarised, reconciled opening balance – this multiplies data-entry errors without adding any real audit value.
- Skipping HSN/SAC code review during migration and discovering errors only when GSTR-1 auto-population looks wrong.
- Switching off the old system immediately, leaving no fallback if a reconciliation gap surfaces in the first GST cycle.
- Not assigning user roles and approval workflows in the new system before go-live, so the first month runs with everyone on admin access "just to get through it."
What good MIS looks like after migration
A clean migration is also the right moment to fix reporting, not just move data. If your monthly MIS pack was a manual Excel exercise before, Zoho Books' native reports plus a few configured custom views can replace most of that manual work – but only if the chart of accounts and cost-centre/tag structure were set up correctly at migration, not bolted on afterward.
Frequently asked questions
How long does a Tally-to-Zoho Books migration typically take?
For a small business with a handful of bank accounts and under a few hundred monthly transactions, a well-planned migration with parallel run typically spans one full GST return cycle end to end, though the technical data migration itself is usually a few days' work.
Can I import my entire Tally transaction history into Zoho Books?
Zoho Books supports importing historical data, but importing every past transaction is rarely worth it – a reconciled opening balance as of the cut-off date, with the old system retained for historical reference, is cleaner and less error-prone.
Do I need to re-verify GST registration details during migration?
Yes. Treat migration as the point to re-confirm GSTIN, place of supply defaults and HSN/SAC master data are current, since errors here surface as return-filing mismatches later, not immediately.
Does Zoho Books meet the audit trail requirement out of the box?
Zoho Books has audit-trail/activity-log capability, but you must confirm it is enabled and capturing the right event types for your compliance needs from the migration go-live date, rather than assuming a default configuration is sufficient.
Should we migrate at financial year-end or can it be done mid-year?
Year-end or quarter-end is cleaner because it aligns with a natural reconciliation point, but a well-executed migration with a proper opening trial balance can be done mid-year if there is a good reason to move sooner.
What happens if we find an error after switching off the old system?
This is exactly why the parallel-run step matters – catching errors while the old system is still available for cross-reference is far easier than reconstructing history after it has been retired.
We run migrations end-to-end - opening balances, GST setup, audit trail configuration and the parallel-run period.
